Receiving and traceability
How should PV modules be inspected and traced at delivery?
Plan photovoltaic module receiving checks from package condition through serial-number and document reconciliation.
Short answer
Delivery inspection should confirm shipment identity before installation: purchase order, packing list, model, power class, quantity, pallet condition, visible damage, serial-number records and supporting documents. Exceptions should be preserved, isolated and reported through an agreed process.
Receiving and traceability
Verify identity before opening everything
Match labels and shipping documents to the order and approved submittal. Record pallet identifiers and seal status where applicable.
Inspect without creating new damage
Follow handling and opening instructions. Photograph packaging and suspected damage, protect exposed modules and avoid energizing or installing questionable units.
Reconcile serial and quantity records
Keep serial-number files linked to pallet, model, power class and final installation location when the project requires it. Control duplicates, missing records and substitutions.
A receiving discrepancy record
Reconcile identity, quantity and condition while preserving the original evidence.
Before opening
Shipment and pallet IDs / seal or package condition / unloading time / carrier record / photographs linked to each package.
Unit reconciliation
Expected and observed model, bin and serial / missing or duplicate IDs / visible damage / inspection stage / unit disposition.
Escalation
Record discrepancy notice, responsible party, evidence sent and agreed disposition. Quarantine decisions and claims follow the contract and safety procedure.
Record template: replace prompts with project evidence and retain unresolved items. It does not authorize purchase, installation or release.

FAQ
Frequently asked questions
Is intact packaging proof that every module is undamaged?
No. It supports inspection but does not replace appropriate internal checks.
Should damaged modules be installed for later review?
No. Isolate them and follow the approved disposition process.
Why retain serial numbers?
They support identity, installation records and later document or warranty review.
